Privacy Policy Statement – 2019 (“Statement”)

General

Smethwick Photographic Society (The “Society”) is committed to protecting and respecting your privacy. This statement (together with the Society’s data protection policy and any terms of use on our website) sets out the basis on which any personal data we (being the Society or an officer of the Society or a committee member of the Society) collect from you, that you provide to us or that we obtain about you from other sources, will be processed by us. Please read the following carefully to understand how we use your personal data. By visiting our website or by providing us with any information about yourself you are accepting and agreeing to the practices set out in this Statement. If you do not agree to the policies set out in this Statement, please do not use this website.

Personal data (“Information”) comprises your name, photographic distinctions, address, telephone number, email address and the name of any photographic club of which you are a member. This list is not intended to be exhaustive.

Information we collect from or about you

If you provide us with Information by using any online forms or printed forms, by entering into a competition and/or an event run or managed by the Society or given in any other communication, we may use this Information to send you details of products, promotions or services provided by the Society, or relevant third parties, that you have requested or which we believe may be of interest to you.

The Society will make every effort to hold your Information securely and maintain your confidentiality. It is only accessible to those involved in the administration of the Society and any competitions and/or events run or managed by the Society. It will be retained and used in accordance with the Society’s Data Protection Policy. A copy can be found on the Society’s website or inspected at The Old School House Churchbridge Oldbury West Midlands.

If you provide Information in relation to membership, you will be given the opportunity to ensure that the Information that we hold is always accurate and up to date. Your Information will be deleted if you no longer wish to continue to be a member.

With regard to each of your visits to the Society’s website, we will also collect the following information:

  1. technical information including the internet protocol (“IP”) address used to connect your computer to the internet

  2. information about your visit including pages searched for or viewed

This Privacy Statement only applies to websites owned by the Society and not to any third party sites for which links may be provided on the Society’s website.

How we use your Information

The Information collected is used to enable the Society to administer the members’ needs. We will also use and analyse the collected Information to administer, support, improve and develop the Society.

If there is an inter-club event to which you have entered, then your Information may be given or passed to such photographic clubs or societies. This is conditional upon the other clubs or societies abiding by the PAGB rules.

As part of the Society’s research, we may use your Information to contact you for your views on aspects of the Society as well as occasionally to notify you about important changes to the Society’s website or programme of events. Our means of communication is likely to be made by email but could be by post or telephone.

The Society will not pass on, share or sell any of the Information you provide to us without your consent unless required to do so by law. Consent given in an email is deemed to be written consent. Please note that we have no control over the route that the data will travel between your computer and our host website and this may be outside the European Economic Area.

Should you decide that you no longer wish to receive any further communications from the Society, please let us know by letter addressed to the membership secretary at The Old School House Churchbridge Oldbury West Midlands or email addressed to secretary@smethwickps.co.uk .

Viewing your Information

 You are entitled to see the Information which we hold about you. You may request that we make any necessary changes to ensure that it is accurate and kept up to date. If you wish to do this, please contact the Secretary of the Society by email, whose email address is: secretary@smethwickps.co.uk. In normal circumstances, we will not make a charge but we are entitled by law to charge a fee of £10 to meet some of our costs in providing you with details of the Information the Society holds about you and the Society does reserve the right to make a charge.

If you are not happy with any aspect of how we collect and use your Information, you have the right to complain to the Information Commissioner’s Office (ICO), the UK’s supervisory authority for data protection issues and whose website is www.ico.org.uk. We should be grateful if you would contact us first if you do have a complaint so that we can try to resolve it for you.

Google Analytics

We may use the Google Analytics tool to measure and analyze information with respect to visits to the Society’s website. To that effect, we may use your IP-address to collect, among other things, internet traffic data and data regarding your browser type and computer. In addition, cookies may be used.

Cookies

A cookie is a small file that is stored on your computer’s hard drive when you visit a website and which records how you move around a website. If you visit the website again, it is recognised as a repeat visit by means of the cookie. The cookie contains merely a unique number and therefore no personal data is collected. The cookie cannot be used to identify you on websites of third parties; including any analytical program we may use. We will not use the IP-addresses or cookies to identify you personally. Facebook

The Society’s website may utilise the Facebook “Like” button functionality in order to share content. If a user clicks the “Like” button and logs into Facebook via the Society’s website, Facebook will leave a cookie on the user’s computer. Third party websites

Visitors may find advertising or other content on the Society’s website that links to the sites and services of third parties. The Society does not control the content or links that appear on those sites and the Society is not responsible for the practices employed by websites linked to or from our website.

Changes to this Statement

The Society has the discretion to update this Statement at any time. Changes will immediately supersede any previous statement. When we update the Statement, we will make it clear that it has been revised. The Society encourages users to check this page for any changes and to stay informed about how we are helping to protect the Information the Society collects. You acknowledge and agree that it is your responsibility to review this Statement periodically and become aware of any amendments.
